JOB DESCRIPTION – ADMIN ASSISTANT
Responsible to: Manager/Deputy Manager
Purpose of your job
• To assist the Directors and Manager of Glendale lodge in all aspects of secretarial and administrative duties providing professional support.
• To act as a personal assistant to the Manager
Main areas of responsibility
• Meet daily with the Manager.
• Ensure confidentiality at all times.
• Ensure deadlines are met by:
i. Liaising effectively with members of staff.
ii. Collating information required, meeting deadline and milestone dates.
iii. Bringing any unforeseen problems to the notice of the Manager of Glendale Lodge where appropriate and in a timely fashion.
• Encourage effective time management throughout the day.
• Make appointments as required ensuring sufficient time allowed.
• Advise other members of staff of attendance at meetings.
• Maintain the filing system with the Manager of Glendale Lodge.
• Meet and greet visitors.
• Produce reports/graphs as required.
• Understand the principles behind effective management of electronic data and systems.
• Receive/make telephone calls.
• Check email daily, bringing any relevant information to the attention of the Manager of Glendale Lodge or other members of staff.
• Check other email addresses if requested to do so.
• Sort mail as required by Manager of Glendale Lodge.
• Attend daily briefing meeting and take minutes.
• Word Processing as requested by Manager of Glendale Lodge.
• Provide guidance to colleagues.
• Additional duties/responsibilities as required by the Manager of Glendale Lodge and/or Directors
