The coordinator will carry out varying roles and functions supporting the business in a very busy department. The scope of responsibilities vary from general administration duties, coordination and updating clients and our internal information systems whilst ensuring smooth operations and administration services as required by TechniFire Solutions, its staff and clients.
TechniFire Solutions Ltd work as a team and the post holder should therefore have a strong team ethic and have the ability to work autonomously under their own initiative.
Duties and responsibilities:
1. General administration duties as required
2. Dealing with queries/enquiries
3. Record and update Internal Management Information System accurately.
4. Book and assign planned preventative maintenance visits with clients ensuring correct procedures are adhered to for each site i.e. issuing risk assessment and method statements, arranging permits, contractor access forms and relevant documentation
5. Organize and arrange sub-contractors
6. Assign labour for service visits combining where possible to maximize efficiency
7. Log, arrange and distribute callouts
8. Monitor the return of maintenance certificates and callout reports, reviewing completion of works and send for invoicing accordingly, updating the client effectively
9. Invoice works accordingly upon completion ensuring speedy processing and accuracy
10. Update internal systems and reports regularly
11. Update and produce reports on the above responsibilities
Effective working relationships are an essential part of daily working life. The focus in this role is both:-
Internal: Directors, Managers, Engineers, Colleagues within the Company in all departments.
External: Client liaison, Face to face and telephone communications with Client Site Staff and Purchasers, Suppliers and Sub-Contractors.
These are illustrative duties and the post holder will be expected to become involved in a range of work to enable the company to respond effectively to the requirements of our Clients.
