We are seeking an organised Administration Assistant to deliver administrative support to the department and Assistant Directors, to ensure the department runs efficiently and operates to effectively.

Key Duties:

* Provide a professional administration service to the department and its customers, ensuring the effective operation of the department. This includes monitoring and managing staffing records, access to buildings and arranging travel and accommodation.
* Provide a range of Personal Assistant activities to Assistant Directors to ensure that they use their time to the best advantage and maximise their contribution to the University. Duties include diary management, arranging meetings with internal and external colleagues and suppliers.
* Provide timely and efficient support to meetings, committees and events to ensure effective use of time and resources. Supporting with the production of agendas and papers, organising calendar bookings and taking accurate minutes with action points follow up.
* Manage and support Health and Safety monitoring and processes to ensure the safe operation of the departments services. Including organising the Health and Safety meetings, preparing agendas and taking minutes and action points follow up. Responsible for the induction of new staff members and offering support in safety drills/emergency evacuations.
* Play a pro-active role in the work of the administration team as a whole to support the delivery and continuous improvement of the services provided. Your duties will include contributing to the development and improvement of working practices and processes.

Qualifications, Knowledge and Skills:

* Educated to GCSE English and Maths at grade C or equivalent.
* ECDL or equivalent IT qualification/experience.
* Recognised secretarial/administrative qualifications are desirable.
* Proven PA/administrative experience at senior management level.
* Previous experience of working in a busy office environment, able to respond positively to changing priorities
* Experience of working with confidential information and an ability to maintain discretion in dealing with sensitive or confidential matters.
* Previous experience of supporting meetings including preparing agendas and taking minutes and following up on actions.
* Experience of organising events such as workshops, seminars and conferences - desirable.
* Demonstrable experience of using Microsoft Office products including designing and maintaining Excel spreadsheets
* Demonstrably good time management skills and ability to manage own workload and meet deadlines under pressure.
* Excellent interpersonal and communication skills both written and verbal.
* Ability to work effectively as part of a team and to work independently with a pro-active approach to problem solving.
* Ability to work with, and inspire confidence in, staff at all levels of the organisation.
* Knowledge of health and safety requirements in the workplace - desirable.
* A knowledge and understanding of the HE environment - desirable.
