We are looking for an enthusiastic and professional individual to perform a variety of tasks to support our Buying Department.
The ideal candidate should have good oral and written communication as well as time management and organisation skills and will be able to work well in a fast pace environment. Being computer savvy and having experience in using MS Office applications, especially Excel is essential. You will also need to be able to quickly adapt to using our in-house computer systems. You will need to have attentional to detail and good interpersonal skills as this role involves a high level of collaboration with other team members and suppliers.
If you have worked in secretarial roles and are familiar with e-commerce ideally in the retail business, we would like to meet you, but we will also consider candidates from other industry backgrounds. Foreign languages such as Italian, Spanish, French or German will be considered as an advantage.
Responsibilities
• Liaising with other departments and international brands
• Buying Appointment Preparation: Requesting and processing collection information from suppliers, preparation of Excel order templates, catering arrangements, setting up rails and refreshments ahead of appointments as well as clearing away afterwards.
• Order confirmations: Chasing and checking of order confirmations, resolving of any discrepancies
• Assisting with samples: displaying, packing and dispatching of samples
• Assisting during buying/business appointments: Photographing of samples and processing of pictures post appointment, minute taking.
• Travel: Assisting in booking flights, hotels and ground transports for UK and International trips, preparing travel itineraries
• Sales Reports: Assisting with the preparation of sales reports for Buyers
• Equipment Management: Ensuring equipment is in good working order and sufficient stock available, liaising with Buyers and preparing camera kits and equipment for buying appointments, maintaining accurate and up-to-date equipment inventory and log book
• General office tasks: Answering and filtering of telephone calls, answering and monitoring emails from shared department mailbox, receiving and directing visitors, filing, assisting with ad-hoc projects
• Trade Show: Assisting with preparations ahead of Buyers attending trade shows
• Assisting the Buying Department Manager and Senior Buyers with ad-hoc tasks
Requirements
• Well presented, professional with polite manners
• Good written and verbal communication skills
• Fast Learner, adapt to changes, proactive, creative
• Experience in MS Office (Excel is essential)
• Good time management - ability to organise, multitask, prioritise and work under pressure
• Attention to detail and problem-solving skills
• Good interpersonal skills, team-player
