Job Title: Sales order processing and accounts administrator
Our client who is a solutions provider and a market leading company in Maidstone
This role primarily covers the complete sales order processing cycle from customer sales order
through to purchasing and organising the delivery of the goods.
In addition to this the role will provide ongoing assistance to both sales and purchase ledger functions together with assisting in running the administration side of the finance function.
Convert all sales orders created into the CRM system
Checking sales order forms for completeness/correctness (e.g. date, values, revenue streams,
customer PO, vendor quotes, whether a Scope of Works is required / not, etc.). send for
authorisation to appropriate departments/managers
Create purchase order from supplier quotes and liaise re: availability,
delivery etc.
Process delivery notes against purchase orders
Customer / Supplier liaison
Provide customers with delivery dates and general customer support.
Liaise with suppliers regarding shipping, deliveries etc.
Stock / Deliveries
Physical receipt of all deliveries
Arrange for deliveries to customers.
Control all stock items awaiting delivery to customer sites.
Logging of all sales orders, invoices on the spread sheet.
Manage all documentation related to each sales order (sales order, invoice, vendor quotes, any
related instructions).
Part of a team answering telephone calls to company main telephone number and answering
the door
Purchase Ledger: Providing cover for urgent payments and for the accounts inbox such as
requests for invoice status & printing new invoices.
Sales Ledger: Providing cover for sending out sales invoices in a timely manner when raised
and for the accounts inbox such as statement requests & invoice queries.
Experience & knowledge
Knowledge/ current experience of sales and purchase order processing. Basic knowledge of accounting transaction processing (sales and purchase invoices).
Intermediate level knowledge of Excel and Word.
Professional telephone manner dealing with customers, suppliers and internal staff.
Good level of writing skills.
Good organisational skills.
Flexibility to manage during very busy times at month end which requires late working as orders
are processed.
Hours and benefits
Monday to Friday 8.30 - 5.30
