Main Purpose of the Role:

Assist the Buying team with the planning of the product ranges preparing analysis and managing product samples and buying information

Assist the Buying team with supplier liaison on product cost, delivery dates and product development to ensure the right product is in the right place at the right price, at the right time, within margin and quality guidelines

Maintain and track all administration systems and procedures to ensure product availability for the ordering and delivery of merchandise

Product Data and Order set up

- Set up, manage and maintain all supplier and product data to ensure data integrity and product availability and delivery:
- Line set up
- Attribute set up
- Supplier set up
- Price changes
- Ensure that supplier generated data input forms are supplied to quality and deadlines and deal with any Supplier issues
- Raise orders accurately and amend and cancel purchase orders as directed by the Buying team
- Track and match Invoices and PO orders raising any issues with the Buyer
- Set up, manage and follow up all buying admin systems and procedures to ensure supplier delivery

Supplier Management

- Check that all products meet the defined QA and legal standards defined by Company policy
- Liaise with suppliers as directed by the Buying team
- Track & update order status identifying notifying the merchandising team of any changes to the delivery schedule or order status
- Deal with quality issues, returned stock, transfers and recalls ensuring that the relevant admin is completed e.g. credit notes, write offs
- Maintain data and prepare analysis for supplier reviews
- Work with suppliers and operations to action planned in store events

Product Awareness

- Prepare the data and samples for weekly Best and Worst seller reviews
- Have a basic understanding of the weekly performance pack and support the Buying team in implementing trading actions
- Under the guidance of the Buyer review the market place and ensure the range is competitive through regular competitive research on the high street

Business Admin

- Support the Buying team in administrative duties to include receiving and sending post, keeping files and records as appropriate, dealing with e mail and telephone queries (internally and externally)
- Assist the Buying team with supplier liaison on product cost, supplier data, product visuals, samples and new line availability
- Prepare merchandise for range and marketing presentations, and ensure all merchandise is accurately represented for range sign off
- Gather accurate weekly bulletin content for stores

Knowledge & Skills -Essential:
- Good standard of education, ideally in a business related degree or qualification. Experience in administration and retail (e.g. in store). Shows passion for product and retail.
- Commercial Acumen: Commercially aware with a passion for product. Good numeracy skills and the ability to identify and solve problems.
- Team player: Genuine interest in product and willingness to learn. Works well within a team and is happy to do admin tasks to support the wider buying team while learning about retail.
• Communication and Interpersonal skills. Articulate with good interpersonal skills. Shows drive and enthusiasm with willingness to learn. Good presentation skills.
• Organisation: Good planning and organizational skills. Thorough and accurate with good attention to detail. Ability to juggle and prioritise tasks to meet business objectives in a fast based complex environment. PC literate and competent in all Microsoft Office applications with good Powerpoint and Excel skills.

Knowledge & Skills – Desirable:
- Retail store or customer service experience
- Time spent in a buying office
