Office / Finance Assistant
£20-25K
Reporting to Head of Operations
Are you organised, able to multi-task and have excellent attention to detail? Do you love communicating with people and working in a creative, fast-paced environment where each day is different? If the above sounds like you, then you could be ideally who we’re looking for
We are looking to hire an Office/Finance Assistant to take on a pivotal role within Jet Set Speaker with a view to moving into an Office Manager role
Responsibilities:
Administration/Events
o Assist the Office Manager on maintaining all office supplies and inventory
o Manage email inboxes and respond or forward on client queries
o Research event venues and liaise with venue managers on event requirements
o Deal with customer queries in a confident & timely manner
o Liaise with the CEO on diary management - organizing all 1-2-1 meetings with key clients
o Send regular email broadcasts to attendees pre and post events and keep event information updated on all key Facebook Private groups
o Attend all / most events and assist with registration and planning
Finance Administration duties:
o Assist the Finance Manager on varied financial administration duties
o Chase outstanding expenses
o Analyse and maintain Petty Cash float
o Process refunds on our CRM software. (Infusionsoft - full training will be given)
o Organise all invoices for events ready for processing
o Prepare and oversee purchase invoices for processing
o General filing and ad hoc finance duties
Skills Required:
· Experience working in a similar role previously (finance/admin)
· Ability to manage a number of tasks simultaneously
· Excellent customer liaison / people skills
· Exceptional organisational & time-management skills
· A confident and clear communicator – written & verbal
· Able to work under pressure with a calm and patience approach
· Approachable and a Team Player
· Events experience (desirable but not essential)
· An interest in personal and professional development
