Service Coordinator Job Description
Reports to and accountable to: Service Manager
The coordinator will carry out varying roles and functions supporting the business. The scope of responsibilities varies from general administration duties, coordination, invoicing and updating information systems whilst ensuring smooth operations and administration services as required by TechniFire Solutions, its staff and clients.
TechniFire Solutions Ltd work as a team and the post holder should therefore have a strong team ethic and have the ability to work autonomously under their own initiative.
Duties and responsibilities
1. General admin duties as required dealing with queries/enquiries etc
2. Record and Update Internal Management Information Systems accurately
3. Assign labour and purchase emergency replacement parts
4. Coordinate engineering team as applicable for your assigned contracts maximising efficiency
5. Log, manage and distribute emergency callouts, reviewing job sheets, updating the client effectively and subsequent invoicing
6. Liaise with clients arranging works issuing risk assessment and method statements, arranging permits, contractor access forms and relevant documentation (as required).
7. Recording and logging annual leave and vehicle management
8. Issuing required documentation and service requirements to engineers
9. Monitoring return of adequate documentation from engineers
10. Organise and arrange sub-contractors
11. Compile in conjunction with each account manager relevant certification, KPI and service documentation for each site and/or portfolio
12. Allocate recommendations accordingly quoting small works as required
13. Invoice works accordingly upon completion ensuring speedy processing and accuracy
14. Update and produce monthly reports on the above responsibilities
Working Relationships:
Effective working relationships are an essential part of daily working life. The focus in this role is both:-
Internal: Directors, Managers, Engineers, Colleagues within the Company in all departments.
External: Client liaison, Face to face and telephone communications with Client Site Staff and Purchasers, Suppliers and Sub-Contractors.
These are illustrative duties and the post holder will be expected to become involved in a range of work
