ADMINISTRATOR
Hours: 40 per week, 9am -5.30pm Monday to Friday with one hour lunch break.
Starting Salary: £18,000 per annum which will be reviewed after 6 months.
Holiday Allowance: 20 days holiday per annum plus bank holidays with one additional year added for each year’s service to a maximum of 25 days.
The Company
We are based in the south east of Kent, just outside of Maidstone. The company is primarily based on lettings but has been managing estates since the early 1980’s and, due to the completion of recent local housing developments, have found the demand for our estate management services have greatly increased and the company is rapidly expanding.
In view of this, a position has opened for a successful candidate to join our friendly team with exciting opportunities as the company continues to expand.
Main Role
We are looking for a responsible administrative assistant to perform a variety of administrative and clerical tasks. Your main role will be to assist the Estate Manager in managing a portfolio of 15 estates consisting of over 1,000 units, comprised of both leasehold flats and freehold houses located in/around Maidstone, Tonbridge and Tunbridge Wells.
Most hours will be office based using computers to complete day-to-day tasks, while the remaining hours will be spent travelling to and from estates for various reasons, including but not limited to: Monthly Site Inspections; Meeting Contractors regarding repairs and improvements; To resolve client matters; To attend important meetings. As part of this role, attendance will, in addition, be required to meet estate directors, and potential new clients, out of office hours, where budgets and other matters are discussed. Travel expenses will be reimbursed based on mileage on a monthly basis. You will also be required to assist in daily office needs and other departments, where necessary.
Within this role, you will be expected to, but not limited to, complete the following tasks:
• Basic administration including mail merges, emails and typing minutes
• Answering telephone queries
• Raising works orders and liaising with contractors regarding maintenance issues
• Assisting in the collection and chasing of service charge payments, including issuance of service charge demands
• Perform Monthly Site Inspections as and when required by the estate manager
• Assist in dealing with client and solicitor inquiries regarding properties
• Prepare presentations packages
The Candidate
You will need to be punctual, methodical and well organised, experience would be beneficial within the property estate/block management, but not essential.
