EXECUTIVE ASSISTANT TO THE BOARD OF DIRECTORS
Are you interested in joining in a fast growing and dynamic Business & Leisure Travel company with offices in Tunbridge Wells and Maidstone, Kent who are looking to employ an Executive Assistant to support the Board of Directors? Salary depending on experience

Responsible for the EA function across the business, reporting to Managing Director Corporate Travel, CEO and other Directors where necessary. The EA function will provide a comprehensive, personal and high standard of secretarial and administrative support and will be involved in a range of activities required by the company.
Typical working activities:
Document production
It is important that the successful candidate demonstrates excellent Microsoft skills, can produce a Power Point presentation and Word document to a good business standard as this will be required for Board meetings and specific projects around the business.
General
• Responsible for the ongoing implementation and review of ISO: 9001 and Investors in People accreditations
• Diary management both with internal and external personnel
• Manage all meeting room calendars effectively
• Minute taking, short hand preferable
• Management of suppliers including supplier negotiation
• Organise and manage business or personal travel arrangements as requested
• Manage expense claims as requested
• Meet and greet visitors and associated refreshment making
• Manage car park space allocation for all offices
• Personal tasks for all three Directors and CEO
• Manage stationary requirements for both offices in line budget
• Coordinate all overseas mobile phone usage
• Act as first point of contact for annual servicing of intruder alarm, fire detectors, CCTV system and other issues relating to facilities within
the office as and when they arise
HR
• Recruitment, the successful candidate will have a proven track record of managing the end to end process, negotiation with agencies,
social and digital methods and show initiative.
• Best working practices, implementation and review of new and existing HR processes
• Administering the payroll
Knowledge, Skills and Experience
The successful candidate will have the following essential skills, qualifications and attributes;
• Excellent time keeping presented in a smart and professional way
• Ability to work on own initiative and manage workloads effectively, using common sense and integrity where appropriate.
• Comprehensive proven working knowledge of all Microsoft office programmes
• Excellent inter-personal skills, with the ability to relate effectively with staff at all levels
• High standard of presentation and accuracy skills
• Ability to work under pressure
• Good numeracy skills
• Good time management skills
• Forward thinking and able to deal with things in a practical way as well as policy or legislation driven
• A Demonstrable operational experience within an HR environment
• Exposure to working in fast paced and deadline-driven environment
• Proven previous experience of dealing with the full range of HR Processes such as recruitment, disciplinary, sickness absence and
general HR work
• First-class organisational and communication skills
• High standard of presentation and accuracy skills
• CIPD Qualification is an advantage
