We are looking to recruit an experienced Administration Executive for our prestigious client based in Ashford.

The post holder will be friendly, assertive and efficient with the ability to work at Board level, ensuring work is carried out efficiently and to a high standard. You must be able to cope with both routine and challenging situations, using initiative and working with discretion. Excellent communication skills, both spoken and written are essential.

This position is best suited to a confident and enthusiastic individual with a positive disposition, who is able to deal appropriately with confidential information and with the skills and experience to assist the Group Admin Manager in the smooth running of the Group Administration department. The post holder will be able to make sound, informed decisions and be able to deputise for the Group Admin Manager as and when required.

The overall purpose of the post will be: -

* To provide administrative support to all Companies within our clients group (which includes over 40 Group companies);
* Support the Group Administration Manager, taking on tasks and duties as and when required;
* Provide secretarial and executive support to all Directors and Senior Managers;
* Maintain departmental processes in line with the duties of the Group Admin dept.

The main activities of the post will be to: -

* Assist Group Admin Manager in any tasks as and when required, including deputising during periods of absence;
* Support Group Chairman and Group MD;
* Diary management, including organising any meetings or events (including minute/note-taking) by the Group Chairman and/or Group MD;
* Answering queries and re-directing where necessary to relevant departments;
* Input annual leave requests on to the HR database;
* Manage Long Service Awards on a monthly basis.
* Maintain the Group's vehicle fleet including dealing with all related correspondence, insurance claims, maintaining vehicle/driver database records;
* Maintain employee driver database and records, including carrying out licence checks, ensuring all required paperwork is completed and up-to-date, obtaining insurance certificates with appropriate levels of cover where required;
* Any other ad hoc tasks as required and instructed by the Group Admin Manager, Group Chairman or Group MD;
* Dealing with driver negligence claims on behalf of Driving branches and liaising, as appropriate, with insurance company.

Person specification

Essential Knowledge, skills and experience

* Computer literate with working knowledge of all Microsoft products, including but not limited to Word, Excel, PowerPoint and Access to an Intermediate level
* Excellent inter-personal skills, a professional and mature outlook and the ability to liaise confidently with personnel at all levels
* Shorthand/Speedwriting
* High level organisational skills, attention to detail and accuracy are vital, along with the ability to multi-task and prioritise.
* Ability to work on own initiative with the minimum of supervision
* Excellent time management
* Experience working in a similar role
* Experience of working within a team environment

Essential Personal requirements

* Discretion, sensitivity and resourcefulness
* Enthusiasm and ability to self-motivate
* Sociable, with a sense of humour
* Flexibility
* Smart appearance
* Confident telephone manner
* Full driving licence (not essential but would be desirable)

Essential Qualifications and Education

* 5 GCSEs or equivalent (A-C Grade) including Maths & English
* 60 wpm typing speed

Hours of work will be 08.30am - 17.00pm Monday - Friday with an hour for lunch. There will also be an allocated parking space with this post.
