We are a relaxed and friendly office, looking for a cheerful and efficient admin assistant.
Hours: Monday to Friday 9.30am – 4.30pm (35 hours per week)
Hourly Rate: £7.50 per hour (£13,650 pa)
Accountable To: Office Manager
Job Purpose: To assist with day to day administration in the office as needed. We are a small but busy office organising the support of service users with learning disabilities living in the local community. We liaise with staff, service users, professionals and families on a regular basis regarding a wide range of topics.
Key Responsibilities:
• Answering telephone calls, emails and face to face enquiries from staff, clients, professionals and family members regarding various points that may arise
• Accurate and efficient filing and archiving, gatekeeping of important confidential documents / sensitive information, and appropriate information sharing
• Booking and minute taking for meetings and interviews as needed
• Processing of new starters ensuring data protection is adhered to and staff files are maintained to a CQC compliant standard
• Data entry including booking and monitoring / maintaining the annual leave calendar, as well as the training matrix and ensuring that all staff are CQC complaint on training. Some maintenance of online databases (NMDS)
• Some assistance with invoicing and payroll, as needed
• Maintenance of basic office supplies, banking, petty cash management
Skills Required:
• Confident telephone manner, excellent written and verbal communication skills
• Good working knowledge of Microsoft Office, particularly Excel and Word, and Outlook
• Ability to manage time and prioritise effectively
• Must be prompt and reliable
• Good attention to detail, especially concerning CQC and legislative compliance standards
• Awareness of the importance of confidentiality and only sharing information on a need to know basis
Additional Preferred Skills:
• Knowledge / awareness of CQC standards, understanding of data protection & other relevant legislation, HR experience, NMDS knowledge
