Project Coordinator / Service Coordinator Job Description
The coordinator will carry out varying roles and functions supporting the business. The scope of responsibilities vary from general administration duties, coordination, stock management and updating information systems whilst ensuring smooth operations and administration services as required by TechniFire Solutions, its staff and clients.
TechniFire Solutions Ltd work as a team and the post holder should therefore have a strong team ethic and have the ability to work autonomously under their own initiative.
Duties and responsibilities:
1. General admin duties as required filing/telephone/stationary, dealing with queries/enquiries etc
2. Record and Update internal Management Information Systems accurately.
3. Assign labour and purchase parts for each project/service visit combining where possible to maximize purchasing efficiency.
4. Log, manage and distribute callouts, monitoring the return of job sheets, updating the client effectively and subsequent invoicing.
5. Liaise with clients arranging works issuing risk assessment and method statements, arranging permits, contractor access forms and relevant documentation (as required).
6. Issuing required parts and documentation to engineers.
7. Accurately produce purchase orders, monitor stock levels, advise project managers/engineers of delivery and ensure accurate distribution for each project to each engineer.
8. Monitoring return of adequate documentation from engineers.
9. Organize and arrange sub-contractors.
10. Attend weekly projects meeting taking and distributing minutes.
11. Scan, save and process job sheets and certificates.
12. Compile in conjunction with each project manager relevant certification and operation and maintenance manuals for each job.
13. Invoice works accordingly upon completion ensuring speedy processing and accuracy
14. Process purchase invoices, tying up purchase order and invoice, assign costs to relevant jobs, and monitor returns
15. Update internal systems and reports regularly
16. Update and produce reports on the above responsibilities.
Working Relationships:
Effective working relationships are an essential part of daily working life. The focus in this role is both:-
Internal: Directors, Managers, Engineers, Colleagues within the Company in all departments.
External: Client liaison, Face to face and telephone communications with Client Site Staff and Purchasers, Suppliers and Sub-Contractors.
These are illustrative duties and the post holder will be expected to become involved in a range of work to enable the company to respond effectively to the requirements of our Clients.
