Administration Assistant
Sittingbourne
£9 per hour

2-year contract

A rare opportunity has arisen for a Administration Assistant to join an expanding office based in Sittingbourne. Working for a well-established, extremely busy team, your role will include:

• Providing a range of administrative support services to the companies project team

Key Responsibilities

• Full administrative support to the project team, to include diary management, organising travel arrangements, managing expenses, etc.
• Formats, types and edits a variety of routine material, including: correspondence, memos, reports, and confidential material
• Receives and screens telephone calls and visitors; schedules appointments and meetings; resolves routine problems, and refers other matters to appropriate staff members
• Prepares and updates recurring and routine internal reports, collects and verifies data, refers problems to manager for resolution
• Maintains and updates department files, records, and publications; maintains confidential files and materials
• Maintaining office stationery supplies and general office equipment and ordering new supplies as required
• Meeting and greeting visitors and ensuring the visitors’ log is maintained
• Schedules meetings and appointments; notifies attendees, and makes necessary arrangements (e.g. ensuring meeting rooms are tidy, refreshments are available, etc)
• May serve as administrative liaison with others within and outside the Company regarding administrative issues relating to purchasing, personnel, facilities and operations
• Other general office administrative tasks as required or directed by the Senior Construction Manager and project team members

Personal Specification

• Educated to GCSE standard
• Recognised secretarial, administrative or office management qualification

• Experience of working in a similar role and ideally in a similar environment

• Computer literate (MS Office – Word, Excel, Powerpoint)

• Awareness of health and safety related subjects relevant to the role and/or experience working to health and safety rules/standards

• Excellent written and verbal communication skills

• Excellent time management skills. Able to cope with numerous issues simultaneously and capable of prioritising tasks accordingly and demonstrates the ability to prioritise tasks

• Excellent organisational skills

• Excellent attention to detail and problem solving skills. Able to identify any discrepancies and resolve these satisfactorily

• Will be exposed to physical occupational risks (e.g. noise, burns, exposure to toxic chemicals, etc) and must be capable of assessing these risks and applying suitable preventative measures to prevent injury

• Required to be exposed to physical environment which involves dirt, odours, noise, weather extremes or similar elements
