A new role to support the Facilities Manager of a midsized professional services firm. The Facilities Manager is responsible for the office premises, health and safety and the provision of services such as reception, printing and post room.
Key responsibilities will include:
Assisting the Facilities Manager in her day to day duties.
Monitoring and logging incoming invoices. Coding appropriately and passing to the Finance team for payment.
Booking appointments and organising internal and external meetings for the Manager.
Co-ordinating the work station risk self-assessment process.
Assisting with the delivery of Health & Safety training and Post Room inductions.
Handling phone calls and liaising with suppliers.
In addition you will provide cover in the following areas:
Covering reception, including greeting visitors.
Answering the telephone, handling routine calls and taking messages.
Franking mail and sorting internal and external mail.
Filing, scanning, printing, emailing correspondence and documents as required.
Sorting and filing documents, preparing and recording documents.
The successful candidate should be well-presented with good interpersonal and IT skills and 12 months plus experience in a professional services office environment, preferably to include both a customer facing role such as reception and administrative duties. The position will suit a person who is keen to develop the role, get involved and share some ownership for the success of the facilities function. A “can-do” attitude is also important to tackle a variety of tasks and to provide cover for other staff.
Car driver with full, clean driving licence would be beneficial
Hours: Full-time - 35 hrs per week mainly 9.15 – 5.30 but with some early and late cover
Excellent benefits including bonus scheme, pension and 5 weeks holiday.
