Secretariat - PMO - Leading UK Insurer

Job Description
You will be responsible for providing professional secretariat and facilitation services to a range of management committees within the Technology arena of a large-scale financial services provider.
-Provide Secretariat support service for management committees, and regular necessary meetings.
-Own & coordinate the overall timetable for Gateway submissions and Business Unit sign offs
-Identify the expected Gateway papers, and ensure owners are aware of timetable of deliverables, through portfolio plans and related forums
-Produce agendas and minutes for management meetings on a timely basis, with timetables agreed with Chair
-Ensure consistency and timeliness of Gateway papers, artefacts and deliverables into meetings
-With wider Portfolio Management Team, assure Gateway paper submissions against self-compliance checklists and with Resource Management to ensure papers are fit for purpose
-Coordinate and amend appropriate Terms of References for management meetings & ensure meetings are quorate
-Set up & monitor standards for collaborative working across Forums and Committees where appropriate
-Produce timely and accurate minutes and time bound actions from the management meetings. Ensure owners are accountable for actions, and where appropriate chase for completion.
-Accountable for ownership (with wider Portfolio Management team) that approvals and actions are formally captured and updated within the appropriate mechanism (PPM tool / Portfolio Plan) to drive decision and governance support
The Successful Applicant
The secretariat that I am looking for will have a solid background providing secretariat and facilitation services to senior leadership committees within a large-scale business.
You will have a strong background providing support and governance within a fast paced project environment, and possesses a track record of developing, and maintaining key business relationships with senior stakeholders.
