We are looking for an experienced and enthusiastic Administrative Assistant with 3+ years experience to perform a variety of tasks to support the Buying Department.
The ideal candidate should have excellent oral and written communication as well as time management skills. Being computer savvy with a proven expertise in using MS Office applications, especially intermediate level Excel is essential. You will also need to be able to quickly adapt to using our in-house computer systems.
If you have worked in secretarial roles and are familiar with e-commerce ideally in childrenswear retail business, we would like to meet you, but we will also consider candidates from other industry backgrounds. Foreign languages such as Italian, Spanish, French or German will be considered as an advantage.
A University Degree in Fashion, Business, Marketing will be a plus also.
Responsibilities
• Liaising with others departments and international brands
• Buying Appointment Preparation: Requesting and processing collection information from suppliers, preparation of Excel order templates, setting up rails and refreshments ahead of appointments as well as clearing away afterwards.
• Order confirmations: Chasing and checking of order confirmations, resolving of any discrepancies.
• Assisting with Buyers samples : unpacking & repacking, displaying and dispatching of suppliers samples.
• Assisting during buying/business appointments: Photographing of samples and processing of pictures post appointment, minute taking.
• Travel: Assisting in booking flights, hotels and ground transports for UK and International trips, preparing travel itineraries.
• Expenses: Preparing, reconciling and submitting of expense reports.
• Sales Reports: Assisting with the running/preparation of sales reports for Buyers.
• Equipment Management: Ensuring all other equipment is in good working order and sufficient stock, liaising with Buyers and preparing camera kits and equipment for buying appointments, maintaining accurate and up-to-date camera kit inventory and log book.
• General office tasks: Answering and filtering of telephone calls, receiving and directing visitors, filing, assisting with ad-hoc projects.
• Trade Show: Assisting with preparations ahead of Buyers attending trade shows.
Requirements
• Administrative/Office Assistant and Secretary with 3+ years proven experience.
• Excellent written and verbal communication skills.
• Fast learner, adapt to changes, proactive, creative.
• Knowledge of office management systems and procedures.
• Proficiency in MS Office (intermediate level Excel is essential, proven knowledge and prior experience of Vlook ups, pivot tables and running macros are required).
• Excellent time management - ability to organise, multitask, prioritise and work under pressure.
• Attention to detail and problem solving skills.
