We are looking to recruit a Venue Hire Sales Coordinator into our busy and dynamic venue hire team - Salary: £21,000.00-£24,000.00 per year

The Venue Hire Sales Coordinator will provide administrative support to our hospitality sales operation in order to maximise sales opportunity and to ensure the smooth co-ordination of the site’s hospitality operation.

Our hospitality activity includes weddings, corporate events, social events, Christmas parties and our own internal events which support the achievement of our charitable objectives.

Working with the Sales Manager, this role will provide the first point of contact for all hospitality enquiries. It will require a high level of customer service to deliver excellent customer service and operational liaison for hospitality activities, in line with Chatham Historic Dockyard Trust’s reputation and brand.

This role will involve client liaison and event planning to the finest detail, working alongside a range of other department when required to ensure communication is always working. You will be required to provide factual and informative show rounds providing clients with the full range of venue possibilities available to them.

As the Venue Hire Sales Co-ordinator you will be passionate about people, have a personalised approach, be an excellent and confident communicator by telephone and face to face, providing a warm and professional service to our prospective customers.

You will need a flexible approach to your working hours which will include working evenings and weekends to meet client appointment requirements as required.

Overall Purpose of the role:

The Venue Hire Sales Coordinator will provide administrative support to the Trust’s hospitality sales operation in order to maximise sales opportunity and to ensure the smooth co-ordination of the site’s hospitality operation. The Trust’s hospitality activity includes weddings, corporate events, social events, Christmas parties and the Trust’s own internal events which support the achievement of our charitable objectives. Working with the Sales Manager, this role will provide the first point of contact for all hospitality enquiries. It will require a high level of customer service to deliver excellent customer service and operational liaison for hospitality activities, in line with The Historic Dockyard Chatham’s reputation and brand.

Key Tasks and Responsibilities: Sales Coordination

• Provide the first point of contact via telephone, email and in person for all venue hire enquiries, including internal trust events, weddings, corporate events and social events. Preparing quotes for potential customers and processing order requests

• Plan all booked events with the client, which will include follow up meetings after the initial show around until the event day.

• Providing show arounds to potential clients.

• Maintain records of enquiries and monitoring sales conversions to ensure all customers enquiries are followed up.

• Deliver a high standard of satisfaction and customer service to all clients from first enquiry stage, through to event delivery and follow up

• Proactively upsell The Historic Dockyard Chatham for venue hire to maximise sales opportunity to a range of customers whilst understanding the sites diverse uses.

• Provide after sales support to maintain and manage customer relationships to enhance repeat business opportunity.

• Have an understanding of the departmental targets and work towards exceeding key performance indicators related to the commercial and internal events.

• Contribute towards the sales and marketing strategy for the departments, giving feedback from enquiries to ensure we are understanding the industries as they change.

• Attend appropriate trade, networking, wedding and other shows as necessary. Event Planning

• Provide administrative information and event plans to all relevant departments within the organisation, ensuring accurate information is provided for client approval and the teams operational delivery.

• Ensure excellent communication with both customers and all appropriate CHDT teams, providing adequate notice of activity and engaging early where activities may impact other areas of the Trust’s work.

• Provide administrative and delivery support through carefully throughout through event plans for the Trust’s internal events and meetings, including annual events such as Trafalgar Night Dinner.

Other Duties

• Be available to work ‘out of usual’ office hours occasionally. This will include some evenings and weekends for client meetings when required. You will be responsible for your diary management.

• To answer the general office switchboard phone when in the office to assist with directing calls and answering customer enquiries regarding the site/visitor attraction.

• Attend regular internal Trust meetings, such as our Weekly operations meeting.

• Other such duties as may reasonably be requested by line management.
