Executive Assistant

Monday - Friday, 8.30am - 5.30pm

KHR are working with a long established company based in the Aylesford area. They are looking to recruit an experienced Executive Assistant to provide extensive management and administrative support, at Director and Board level. You will work at a high level and make decisions alongside the Directors to help contribute to the success of the organisation. This position is a multifaceted role; you will have exceptional attention to detail and work well in a high pressured environment.

Duties and responsibilities of the EA:

*Provide day to day support to the Directors including diary management as appropriate

*Arrange travel and accommodation for Directors and management

*Minute taking at Board Level & compiling notes

*Proactive administration of all communications across internal and external channels

*HR Administration and company recruitment

*Payroll/ pension payments

*Oversee the ISO certification with managers

*Ensuring all employee credentials and training are up to date, arranging internal and external training when needed

*Compliance and maintenance of certified management system

*Implementing and maintaining procedures and office administrative systems

*Insurance management - Buildings, vehicle and business

*Fleet management - servicing, MOT, repairs, vehicle taxing

*Manage the office auditing - internal and point of contact for external audits

*Regulatory reporting

*Managing equipment calibration, maintenance and repair

*COVID administration

*Disposal/recycling management - route liaison, contents verification, and disposal pack generation

*Liaising with staff, suppliers, and clients

*Tender response writing, compilation and submission

*Final checking of client files

*Contract management

*Dealing with correspondence, complaints, and queries

*General administration - compiling letters, presentations, and reports


*You must have exceptional attention to detail

*Experience at Director/ CEO and Board Level

*Ideally degree education

*Highly presentable with excellent communication skill

*Team management experience

*The ability to work well under pressure

*Excellent IT skills, Microsoft Office (Including Strong Excel and Outlook)

*Ambitious and motivated

*Efficient, with the ability to prioritise workloads
