Scope of the Role:
The primary focus of this role is to provide high quality and timely administrative support to Asylum Services.
Purpose Of The Job:
• To contribute to the overall success of the Organisation in accordance with Migrant Help's aims and objectives
• To provide professional administration support
• To monitor and maintain the Incident reporting process
• To monitor and maintain the complaints process
• To support other administrative roles within the Director’s team
Main Duties & Responsibilities:
• Maintain efficient and up to date filing and monitoring systems
• Maintain, monitor and action complaints ensuring clear records are kept and responses are received within required timescales
• Monitor the incident reporting process, highlighting any concerns to management immediately
• Monitor and produce data as required on complaints and incidents
• Ensure escalation of Safeguarding or Information/Data incidents to the relevant manager immediately
• Be proficient in Safeguarding procedures across Migrant Help
• Maintain operational statistical information as directed by operational need
• Maintain accurate records of invoices and delivery notices received from contractors and service commissioners.
• Administer the maintenance of office equipment and liaise with the Facilities Manager
• Monitor stationery, consumables and office supplies, ordering on a regular basis
• Maintain diaries for appointments and briefings and circulate these to the appropriate members of the team
• Responsible for answering the office telephone and relaying messages to the team
• Responsible for receiving and directing clients and visitors to the appropriate staff member
• Responsible for taking accurate minutes of team meetings, daily briefings and external partnership meetings as required
• Provide administrative support to other colleagues as and when required
• Any other reasonable duties assigned, including administrative and operational tasks within the post holder’s competency
This post is subject to a Disclosure and Barring Service check (DBS) and a Counter Terrorism Check (CTC).
Therefore the applicant must:
• hold a valid, full current 10-year British passport; full EU passport or have indefinite leave to remain in the UK
• provide full UK address history for the last five years
