The busy Estate Office at Hever Castle in the Kent countryside is looking to recruit a Receptionist / Administrator. This post would suit someone who enjoys working with a vast range of people, is passionate about providing a professional customer service, is highly organised and has the confidence and motivation to develop the role.
DUTIES & RESPONSIBILITIES
• Deal with telephone and email enquiries
• Receive and check deliveries and notify the recipient
• Receive visitors
• Open and circulate post and manage the franking machine
• Annual Membership administration using Merac software
• Production of monthly security / maintenance / DVM rota
• Issue security gate codes
• Issue car park passes
• Process maintenance job sheets
• Deal with raffle and fundraising requests
• Typing, photocopying and laminating as required
• Event ticketing administration using Merac software
• Weekly stationery order and storage management
• Respond to requests for leaflets, guidebooks, etc.
• First aid orders
• Pest control co-ordination
• Monthly Estate Office stocktake
• Provide cover for Chief Executive’s Secretary
• Comply with General Data Protection Regulations (GDPR) at all times
• General office duties assisting other departments including the Visitor Services Office, Golf Club and other Heads of Department, as directed by the Chief Executive’s Secretary
• Any other duties that may be required from time to time
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
Knowledge:
• Maintaining and developing databases
• Business letter writing
• Customer service
Skills:
• Strong appreciation of customer service skills
• Excellent telephone manner
• Professional oral and written communication skills
• Excellent interpersonal skills
• Confident IT skills
• Good numeric skills
• Willingness to learn how to use unfamiliar equipment or computer software etc
• Excellent attention to detail with the ability to spot errors and question information received
• Excellent problem solving skills
• Excellent time management skills and ability to prioritise workload
Experience:
• Experience of working within a busy customer focused environment
• Experience of working with confidential information
• Experience of working to deadlines
• Experience of using Microsoft Office including Word, Excel and Outlook
• Experience of setting up and running a range of administrative systems
Personal Attributes:
• Must be well organised
• Must be well presented
• Must be reliable and punctual
• The ability to empathise and communicate with a diverse range of individuals
• To be able to work under pressure
• To build and maintain a good working relationship with colleagues and customers at all levels
• Ability to deal with demanding customers
• To be self motivated and proactive
• Adaptable, flexible and motivated team member
This is a full-time position, Monday to Friday, 9am to 5.30pm.
