An opportunity has arisen for an Executive Assistant to the Facilities Manager to work as a part of the award-winning team at Childrensalon in our busy Tunbridge Wells Head Office units. Childrensalon is an established online retailer offering the very best selections of the world’s finest luxury children’s designer clothing.

We take pride in ensuring our Head Office is well maintained, clean and safe and as we continue to expand, we seek a talent who will be able to spearhead this new role and grow with us. This is a diverse role with a range of responsibilities and you will have to be a hard worker, self-motivated, enjoy a challenge and be able to take initiative.

Role and Responsibilities:

-Work closely with the Facilities Manager to organise, support and coordinate the day-to-day facilities responsibilities and ensure all projects and daily tasks are run effectively. Including diary management and acting as the first point of contact for all general enquiries.
- Attend Operational Meetings on behalf of the Facilities Manager.
- Create and maintain the facilities office and ensure all records are scanned and stored in an organised manner.
- Manage the administration and be the point of contact for all facilities vendor contracts including waste and fleet management, pest control and any other facilities administration needed as well as team expenses.
- Monitor all facilities requests via Skype, email and phone and liaise with the team to ensure they get handled promptly.
- Create and Organise a schedule for regular maintenance services and be the facilities team point-of-contact.
- Create and Organise a schedule for the procurement and stocking of the kitchen, cleaning supplies, snacks and vending machines.
- Work with inter-company teams to coordinate any office moves and / or relocations.
- Arrange for and follow-through with any office repairs.
- Maintain Facilities team time-keeping with Mitrefinch and work with the Facilities Manager to approve monthly timecards, holiday and sickness absence.
- Ensure Health & Safety / First Aid and Fire procedures are adhered to.
- Support the Facilities Manager in planning for future developments in line with strategic business objectives.

Skills needed:

- Strong organisational skills and ability to multi-task & prioritise duties in a fast-paced, deadline sensitive environment.
- Enthusiastic attitude and proactive approach.
- Good interpersonal skills and the ability to work as part of a team with minimal supervision.
- Flexible approach to your work, willing to work unsocial hours and weekends if needed.
- Good time-keeping.
- Strong proficiency of Microsoft Office computer skills.
- Possess a good understanding of high quality customer service, particularly in an office environment, with ability to manage and communicate with all levels of the company as well as external suppliers.
- Clear, confident communication skills, with the ability to communicate effectively (both written and verbally) with a wide range of people.
- Preferable: Keen interest in technology and understanding of a retailer warehouse environment.
- Preferable: Keen interest and awareness of environmental issues and sustainability.
- Driving licence needed.
