Fuse Rail Ltd is seeking to appoint a full-time person who will be responsible for the administration and financial monitoring of all sales contracts. You will effectively and professionally quality check and coordinate all documents associated with pre and post contract from the estimate to the production of the final invoice. There is a high level of coordination necessary using various IT and IMS including Sage and Excel spreadsheets.

This newly created position requires someone who is organised, methodical and who pays meticulous attention to detail as accuracy is vital to this role. Previous experience in construction or the railway industry is advantageous but not essential as training will be given.

Principal Responsibilities

• Quality check all estimates and advise of any corrective action requirements.
• Record and track progress of all estimates, attending project meetings when necessary.
• Quality check customer orders / contracts received against estimates ensuring accuracy, raising any concerns with the Finance Manager.
• Track any “At Risk” projects and chase customer orders through Project Managers and direct with customers.
• Manage allocation of project numbers and the correct assignment to project folders.
• Open projects in Sage Accounts and assign budgets when advised to do so.
• Open and manage customer orders in Sage Accounts.
• Maintain Project Folders, ensuring all documents and files contained within are uniform and accurate.
• Prepare draft interim accounts, period applications for payments and valuations in accordance with period deadlines and Network Rail or other customer processes, contractual terms and conditions.
• Obtain end of shift reports, check they have been returned to the customer, scan to project files and reconcile to period applications.
• Produce final invoices to customers.
• All completed project should be closed on IMS systems and records properly archived.
• Assist with project costings, reconciliation and the calculation of WIP.
• Assist with tender applications.
• Provide ad-hoc management information and analysis to promote informed decision-making.

The successful applicant with be commercially aware, have a high level of financial acumen and hold a qualification in business, finance or a construction related subject.
