Job Title: Office Administrator/Receptionist
Responsible to: Operations Manager
Location: Whitstable - their may be travel to other venues within Kent
Job Purpose: To support the day to day running of Red Zebra Head Office
Hours: Full or Part Time considered. Temporary 1 year contract - with a view to making permanent
Annual salary: £16, 250
Annual leave: 25 days per annum, plus Bank Holidays

Main duties:

> To give a friendly, pleasant and excellent service to all visitors
> To act as a admin clerk and a receptionist to staff and customers - primarily supporting the Finance and SMT
> To act in a discreet, diplomatic and tactful manner always
> To answer telephone enquiries, relay messages and liaise with all other departments within the organisation
> To liaise with finance, assisting with coding and filing invoices
> To ensure that all local policies and legal requirements are complied with
> Communicates with relevant agencies to coordinate SMT and employee events
> Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
> Manages correspondence by answering emails and sorting mail
> Assists in planning and arranging events, including organising catering
> Handles expenses and billing cycles
> Manages reception area and looks after visitors
> Answers phone calls and transfers them as necessary
> Drafts, formats, and prints relevant documents
> Maintains stock lists and orders office supplies as needed
> Manages staff expense requests
> Interacts with CEO and SMT and carries out their requests
> Creates agendas and takes meeting notes
> Maintains accurate records for employee holiday requests
> Manages outgoing post and records data on special deliveries
> Photocopies and files appropriate documents as needed
> Attends workshops and conferences when requested
> May assist with website functions and social media profiles

The person:

• Previous experience within a clerical role/reception is essential - with strong pleasant written and verbal communication skills
• Intermediate knowledge of IT is required - word, excel and PowerPoint etc. Knowledge of QuickBooks would be beneficial.
• Experience in a charity or customer care role is desirable
• Be a friendly team player with a positive problem solving creative mind
• Be organised and methodical at all times, working from your own initiative - this is a busy demanding office environment
• Ability to prioritise your time and deadlines
