Profile

Modus Vivendi is a privately owned premier Audio Visual Systems Integration company. We are currently looking to recruit an Office Manager / Administrator to be based from our office in Maidstone, Kent, to cover Maternity Leave until 7th May 2019, starting as soon as possible.

Job Critical Success Factors:
- Organise and supervise all of the administrative activities that facilitate the smooth running of the office.

Job Specification:
1. Responsible for the day to day running of the MV office, including; answering of telephones, taking messages and directing them to the relevant party, banking, post, arranging collections and deliveries.
2. Ensure efficient running of back office systems.
3. Maintenance of day diary and data collection.
4. Drafting correspondence.
5. Scheduling of appointments.
6. IT systems and communication management.
7. Human Resources to include;
- Carrying out of staff appraisals.
- Performance management.
- Attendance management.
- Disciplinary and Grievances.
- Equal opportunities monitoring.
- Overseeing the recruitment and induction of new staff.
- Promotion of staff development and training.
8. Maintenance of company handbooks, policies and procedures, and ensuring they are adhered to.
9. Payroll & Accounting procedures.
10. Adherence to Construction Industry Scheme procedures (UK and Ireland)
11. Credit Control.
12. Document / Server management.
13. Facilities management.
14. Vehicle management.
15. Organising, chairing and minute taking of meetings with Modus Vivendi employees.
16. Implementing and promoting equality and diversity policy.
17. Writing reports for senior management, which may include reports on finances, staff performance, service development or an annual review.
18. Delivering presentations about the work of the office to senior management and other sections of the organisation.
19. Responding to customer enquiries and complaints.
20. Arranging regular testing for electrical equipment and safety devices.

Skills and Abilities:
- Knowledge of HR practices and Payroll.
- Strong verbal and written communication skills in English.
- Proficient in Microsoft Office programs including Word, Excel, and Outlook.
- Proficient in Sage Payroll.
- Proficient in Sage Accounting.
- Understanding of the Construction Industry Scheme.
- Organisational skills.
- Good interpersonal skills to liaise with customers.
- Ability to work in a team.
- Ability to manage own time effectively.
