Supporting the Managing Director and his Senior Management Team, you’ll be on hand to support the delivery of their objectives - producing relevant board packs and presentations, alongside efficiently and effectively managing the Managing Directors communications, meetings and itineraries. On a daily basis you will oversee the day to day management of the Kings Ferry office function.


This job is full of variety and you’ll need to be able to turn your hand to a multitude of tasks that include but are not limited to:

• Provide a confidential, efficient and effective personal support service to the MD & his Senior Team and support the delivery of their objectives and provide an interface with all internal/external contacts.
• Prepare papers/documents for all key meetings and maintain a comprehensive filing system.
• Take & distribute minutes & action logs as necessary.
• Plan and produce relevant Board Pack(s) to hit pre-determined deadlines.
• Produce presentations for meetings that are clear, effective and that produced in a timely manner.
• Arrange all domestic/foreign travel and hotel requirements and that include full itineraries for all out of office trips.
• Deal with incoming emails and phone calls for the Managing Director and action where possible.
• Check and arrange authorisation of invoices as necessary.
• Maintain the Directors electronic diary.
• Liaise with other Director’s PA’s and Non-Executive Directors.
• Integrate systems between departments to improve overall efficiency.
• Maintain a safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations
• Plan off-site activities including: Christmas parties, celebrations and conferences.

Candidates will need to show the following key skills and characteristics:

• Excellent written and verbal communication.
• Proficient in use of IT, Microsoft Office including the Power Point and diary management systems including Outlook.
• Ability to prioritise own workload and manage conflicting requests for assistance.
• Good time management.
• Strong attention to detail
• You must be solution oriented and have the ability to work in a fast moving & demanding environment.
• You must be able to respond positively when dealing with shifting and competing priorities.
• The ideal candidate will have a proactive approach, with the ability to work with minimum guidance.

Qualifications:

• The ideal candidate would be educated to an A Level standard

Experience:

• You must have been a successful PA or Office Manager for at least 5 years and have significant experience supporting Senior Managers
