Coolair Equipment Ltd is a successful installation and service contractor that deliver mechanical projects throughout the UK. The Maidstone office concentrates on delivering services on commercial projects for their clients throughout the south of England.
We are searching for the right candidate to join our company to provide office administration support to our sales/design and contracts teams. This is a new role which has resulted from a reorganisation of our Maidstone office.

The Job Role

We are looking for the right person who can multitask and has good attention to detail. The team relies on each other to work in an organised manner with the candidate needing to offer strong communication skills which is key to our operation.
We are a small team in an open office environment and you would be working closely will every member of the team offering support to keep the delivery of services to our client’s project as efficient as possible.

Duties include:

• Answer and relay calls.
• Review and respond to emails.
• Operate and process inputs on our Sage-line500 contract accounting system
• Process and maintain contract documents to ensure compliance with our project requirements
• Process orders to suppliers and reconcile/authorise invoices.
• Schedule and plan meeting and appointments
• Keeping contacts lists up to date
• Write and distribute correspondences as needed, including letter, memos and forms.
• Update and maintain company and department filing systems (paper & electronically)
• Sustain office supplies and sundries
• Assist and direct customers by phone and face to face.
• Assist all members of the team from accounts to delivery team.
• Working to our ISO9001 procedures.

Our concept is to look after all our clients at all times, making sure they receive the best possible service and develop great relationships. Our turnover is boosted by generating repeat order from regular clients.

It would be a benefit if the applicant lived within 20miles of the Maidstone office, so travelling to work doesn’t cause a problem in the long term.

Previous experience within the construction industry and contracting would be beneficial.

• Must be comfortable with basic computer applications outlook, Word, Excel.
• Ability to work with all levels of the Coolair team.
