An opportunity has arisen for an experienced PA/Office Co-Ordinator to the Director of Corporate Communications. This is a key role which requires a high level of confidentiality and tact at all times, together with an excellent attention to detail. You will be expected to deliver seamless clerical and secretarial support to the director and other members of the team in this busy department.

As PA/Office Co-Ordinator you will:
• Manage a diary or diaries for manager(s) office-wide systems and paperwork, including the electronic diary and calendar of events.
• Produce agendas, collate papers, taking full minutes/notes, proactively taking actions forward and monitoring to ensure completion, distributing documentation within timescales and managing group email distribution lists.
• Act as the initial point of contact for visitors, callers and mail/email enquirers to the department, making logistical arrangements for visitors, including accommodation, directions, car parking and transport.
• Take responsibility for the administration of a range of transactional financial processes such as preparation of internal journal transfers and suppliers’ invoices and end of year paperwork for the Finance Office.
To be successful in this role you will have:
• Educated to A level standard or equivalent plus GCSE in English and Maths or equivalent
• IT qualification such as ECDL or equivalent
• Recognised secretarial/administrative qualifications or relevant higher level PA experience
• Proficiency in Microsoft Office, including Word, Excel, Email, an electronic diary (Microsoft Outlook) and Internet
Corporate Communications seeks to build and protect the institution’s reputation at a regional, national and international level. The department is comprised of a team of professionals with the director reporting to the Vice-Chancellor. The team works in collaboration with colleagues across the institution and engages with a wide range of stakeholders including the media, national agencies, staff, students and the local community. Departmental activities include press relations, reputation management, brand guidance, staff and student communications, publications, stakeholder engagement, digital and social media activities and corporate marketing campaigns. The department leads on the institution’s crisis communications response.
