We are currently recruiting for a CIPD Level 3 Qualified HR Assistant to work on an ongoing basis for a successful company located in Kings Hill.

Key Duties

• Provide first line HR advice to managers and employees relating to all areas of HR practice.

• Support the HRBP in delivering an efficient HR administrative service to staff and managers in their respective regions

• Responsible for all staff-related administration such as drafting letters and contracts, accurate records management and payroll administration

• Ensure consistency and accuracy of standard HR documentation and support the HRBP on other ad-hoc documentation such as letters, emails and reports

• Act as a point of contact in the absence of the HRBP in respect of regional issues and ensure that correct information is given or advice sought from other members of the HR team

• Support HRBP, HR Operations Manager and Head of HR with HR related projects

• Work with HR Assistants in other regions to ensure consistency, attend departmental meetings in other regions as required HR Administration

• Issuing contracts of employment for new starters and ensuring all the necessary starter documents are produced and passed to relevant departments, i.e. Payroll, IT, Fleet

• Issuing joining instructions and participating in new starter inductions

• Conducting reference checks and arranging pre-employment medicals

• Preparation of HR correspondence associated with employment related changes, i.e. contract changes, promotions, resignations etc.

• Ensuring HR system (Northgate) is updated with information on new starters, reporting lines, job changes and leavers. Responsible for maintenance of HR hierarchy.

• Responsible for the maintenance of personnel records – paper and electronic

• Conduct exit interviews with all participating employees

• Maintain HR trackers to ensure HRBPs are able to view the progress on starters, leavers, annual reviews and probations • Ensure invoices are signed and authorised for payment and passed to the accounts department for payment in a timely manner

• Manage incoming and outgoing HR post

• Ensure filing is proactively undertaken

• Provide administrative support to HR Operations Manager and Head of HR

• Notify managers of upcoming probation and annual reviews and monitor returns Recruitment and Selection

• Assist with preparation of Recruitment Authority Forms and gaining the necessary approvals

• Support the HRBP with recruitment for their respective regions

• Help design and place recruitment adverts and assist with shortlisting and interviews

• Assist with assessment days as necessary

• Ensure Recruitment Tracker is updated and assist with preparation of recruitment reports

• Help maintain a database of job descriptions and consult with departmental managers to assist with job design for new positions Discipline and Grievance

• Support the HRBP with all investigatory, disciplinary and grievance matters

• Provide first line advice and guidance to managers in relation to specific issues as required

• Assist with preparation of correspondence, drafting letters and typing up meeting notes

• Take notes at investigation, disciplinary and grievance meetings as required

• Assist with preparation of investigation packs for disciplinary and grievance hearings Absence Management

• Provide advice and guidance on Company absence as required

• Support managers in conducting informal sickness interviews and attend formal absence review meetings as required

• Produce monthly sickness reports and notify managers when employees reach set absence triggers Reward

• Assist with annual salary review and bonus process Continuous Professional Development

• Keep abreast of any changes in employment law

• Attend Employment Law Seminars as and when required

9am – 5.30pm
