Job Title: Office Manager
Responsible To: Chief Executive Officer
Location: Whitstable, with occasional travel to our other offices In Medway, Dover and across Kent.
Job Purpose: To manage the office(s) of Red Zebra
Hours: Full Time, or 4 days per wee,k permanent contract
Annual salary: £24, 000 (pro rata if 4 days per week) (Mileage at 40p per mile)
Annual leave: 25 days per annum, plus Bank Holidays (pro rata if 4 days per week)

You will work alongside The CEO to bring process, order and more importantly fun to the lives of everyone in the team. You will be the CEO’s go to person and extra pair of hands. This is a great opportunity for an amazing team player who loves detail to be part of a growing organisation assisting the Heads of Departments across a broad range of services: Social Prescribing, Consultancy and Development, Volunteering, Roma in the Lead, Involving Medway, Big Locals and Finance. Training will be provided on the unique nature of our work.

A. Building

• Act as the central point of contact for property management, scheduling repairs, planning redecorations with providers, managing utilities, and managing and sourcing cleaning contractors
• Manage room bookings, coordinating attendees, preparing rooms and refreshments, providing signing in/out sheets and greeting visitors
• Provide daily signing in sheets for all staff and visitors, ensuring health and safety protocols are fol-lowed for lone workers in the office and in the public arena.
• Update all fire procedures, managing all fire signage and fire extinguishers
• Update all accident procedures and manage first aid equipment
• Maintain PAT testing
• Manage car park space allocation with consideration to disability
• Completely overhaul, reorganise, and manage the resource centre
• Liaise with IT providers to help trouble shoot issues and order new equipment
• Manage office security
• Assist with answering phone calls to the office
• Collate, order and stock take of all office equipment, furniture and stationery

B. Staff/Volunteer Support and Guidance

• Assist with the Car Scheme volunteers and help with any training needs identified.
• Identify and provide appropriate admin tasks to volunteer receptionists
• Guide staff and make appropriate management decisions in the absence of Heads of De-partments.
• Coordinate all staff annual leave, TOIL, signing in and out sheets and sick leave
• Manage the recruitment process for all departments, placing adverts, acting as the point of contact, issuing application forms, collating forms and booking the interviews
• Manage all new staff and volunteer ‘new joiners’, collating necessary documents, processing enhanced DBS checks, and preparing/providing induction for all new members in conjunction with Head of Departments
• Mange all staff leavers
• Completely overhaul our HR files/records, create new systems, and liaise with our HR com-pany for all new policy updates re contracts and staff handbooks
• Assist the CEO with diary management, enquiries and meetings and other PA responsibilities
• Source and book all staff and volunteer training as and when required

C. Processes

• Manage all GDPR/Data protection and IG procedures
• Assist with creating, updating and recommending policies
• Examine existing processes, looking at where we can make improvements
• Monitor quality assurance within the offices
• Liaise with Board members to coordinate Board meetings, preparing Board reports with as-sistance from the Heads of Department
• Assist with the preparation of the end of year reports and social impact statement
• Assist teams with a corporate image and culture on all marketing material and assisting with updating the website to reflect this
• Assist with all social media sites

D. Finance

• Assist the Finance Manager with invoices, payments and filing
• Any other appropriate finance tasks as and when required

E. Miscellaneous

• Use of own vehicle preferable due to multi sites
• Due to the nature of this role an enhanced DBS check will be required.
