Compliance & Operations Administrator Job Description

Report to and accountable to: Service Manager

The administrator will carry out varying roles and functions supporting the business. The scope of responsibilities varies from general administration duties, updating internal management information systems, verifying completion of specific tasks in accordance with compliance requirements, booking and arranging training whilst ensuring smooth operations, administration services and reporting as required by TechniFire Solutions, its staff and clients.

TechniFire Solutions Ltd work as a team and the post holder should therefore have a strong team ethic, attention to detail and have the ability to work autonomously under their own initiative.

Duties and responsibilities:
• General administration duties as required
• Record and update Internal Management Information System accurately
• Assisting with the production of risk assessment and method statements & PPM Planners
• Assisting with the production of quotations where required
• Update internal and external reports regularly
• Verify completed works with compliance requirements
• Produce reports for each contract verifying assets and percentages completed
• Assisting with the production of contract analysis highlighting output and costs associated
• Reviewing completed works and ensure compliance with visits highlighting and addressing as required
• Producing KPI reports for specific contracts
• Responsible for producing necessary certification as required
• Responsible for issuing certification and KPI reports as required
• Update, monitor and support the business with maintaining/extending industry accreditations and quality management systems
• Arrange, monitor and book training courses accordingly
• Record and process overtime/sickness submissions to payroll
• Purchasing as required
• Report and assist with vehicle management
• Respond accordingly to client queries and questions ensuring smooth delivery at all times
• Update and produce reports on the above responsibilities

Working Relationships:
Effective working relationships are an essential part of daily working life. The focus in this role is both:-
Internal: Directors, Managers, Engineers, Colleagues within the Company in all departments.
External: Client liaison, Face to face and telephone communications with client, co-workers, suppliers and sub-contractors.
These are illustrative duties and the post holder will be expected to become involved in a range of work to enable the company to respond effectively to the requirements of our Clients.
