Job Summary

The job holder will be supporting the SHEQ (Safety, Health, Environmental and Quality) team by producing and managing documents and records to ensuring the on-going compliance to the quality, environmental and safety standards: ISO 9001, ISO14001 and OHSAS18001. They will have or develop basic knowledge of the key documents associated with the management system including risk assessments and process flows. This individual will be competent in the use of Microsoft office, have excellent organisational skills and an eye for detail. They will be responsible for ensuring and delivering high standards for the management system documentation. As part of this role the individual will gain knowledge of key safety, environmental and quality issues and controls.

Key Duties

• To support the Management System with document control and other functions required to meet the accredited Standards.
• To create, administer and file process documents, forms and other Management System documents within the SharePoint and IFS systems used by the organisation.
• To arrange and set up meetings and training interventions, including the supply of any associated documentation and minute taking.
• To categorise and administer reported incidents according to set criteria and provide data and feedback as necessary of issues that are noticed.
• To monitor and control overdue actions from the Incident Reporting System, Audits and Inspections.
• To administer and quality control waste transfer documentation.
• To set up and maintain spreadsheets that measure performance against key performance indicators.
• Prepare data and information for management reports.
• When applicable, make recommendations to help improve the Management System.
• Any other duties assigned by the manager or supervisor from time to time. Such duties will be reasonable in relation to the jobholder’s skills, abilities and status.

Skills and Qualifications

• Qualifications at GCSE or equivalent in Maths and English, minimum Grade ‘C’ or demonstrable competency.
• 1+ years’ experience in an administrative role.
• Computer literate in Microsoft Office, including the ability to set up basic spreadsheets, and the use of tables and formatting.
• Demonstrate good communication skills and the ability to speak clearly and concisely.
• Able to remain calm under pressure.
• Able to prioritise workload.
