Head of Operations/Deputy CEO – Job Description
· Full time position 9am – 5pm
· location; Maidstone with some travel across Kent
· Salary £43,000 - £46,000
· DBS required
General Requirements; Work closely with the CEO to oversee, lead and manage the operational aspects of Mid Kent Mind, ensuring successful delivery of its key services whilst establishing systems that support the therapeutic engagement of users of services and the achievement of Mid Kent Mind strategic objectives as directed by the CEO and Trustees.
Good IT skills, including but not limited to the ability to use Publisher, Excel, Microsoft word, PowerPoint and Outlook.
Knowledge of Lamplight CRM would be desirable.
Qualified as MHFA Instructor in multiple courses would be desirable.
A methodical and organised approach is essential to this position. A good understanding and knowledge of mental health conditions is also required.
The main role responsibilities include, but are not limited to:
· Staff Management
Performance review of ops staff
Management of sessional staff and students
Line Management of Junior Manager levels – including appraisals
Mentoring of all new Management level staff
Liaise with HR manager to ensure required training completed
Oversight of Junior managers completing staff supervision and appraisals
Oversight of induction checklists for all new staff / promoted staff
Part of the recruitment process for new staff
Part of the investigation and disciplinary process for staff as required
· Project Management
Design of new projects to meet needs
Mobilising all new delivery secured
Assigning project leads to large projects
Oversight and quality control of all projects
Reporting creation or oversight of all projects
Funder meetings and updates on project delivery
· Funding
Seeking new funding opportunities collaboratively with CEO
Funding application writing
Funding specific meetings
Funding returns
· Commissions / Tenders
Oversight of business portal opportunities collaboratively with CEO
Background work on expressions of interest
Compilation of Tenders
Assisting CEO in Tender writing and submission
· Staff leave – agreement of staff leave
All absences recorded on Bright HR
Ensure all contract details are updated on Bright HR
· Duties Rota - Assigning staff to delivery
Cover of staff shortfalls
Producing weekly rota
Publication of weekly duties
Oversight on awareness of activity coverage
Making amendments and changes as cover and informing relevant staff
Update of “Office working staff rota”
Agree and arrange Home working / Alternative Location delivery as required
· Evaluations and Service Proposals
Data Capture in appointments / skills gap
Database system for recording – System administration of Lamplight
Oversight ensuring Lamplight holds all relevant reporting factors and funders
Project evaluations and grant returns
Evaluation entry and checking for reporting to funders
Oversight of Lamplight entries for accuracy
· Service Delivery process
Crisis Management
Development of new programmes
Attendance at external meetings / contract meetings when required
· Training
Cover any shortfalls of staffing for training delivery
Development and creation of new training courses to meet needs and bespoke commissions
Seeking new contracts for large training delivery projects
Oversight and approval of all training materials and content
Oversight of all training bookings and delivery
Reporting impact of training for evaluation purposes
· Other duties
Attendance at trustee meetings for reporting
Assisting in ensuring governance of the charity is relevant and fit for purpose
Position of Designated Safeguarding Officer for organisation
Oversight of Data Protection actions and breaches for organisation
Administration permission levels for IT management including managing Microsoft accounts
Leading regular staff meeting collaboratively with CEO – updating on operational news
Operational management of all aspects of organisation delivery
Build partnerships for collaborative delivery of new and innovative projects
Assist in business development
Contract management of tenders / grants / commissions
Creating regular data reports for trustee board scrutiny
Reporting directly to; Mid Kent Mind CEO
