HOURS: 37.5

SHIFT: Monday to Friday 9am to 4.30pm - Although some work may be needed outside of those hours, so flexibility is required.

About the Executive Assistant Role:

This is a fantastic opportunity to join an Autism specialist charity based in Kent.

Our Chief Executive is looking for a dynamic Executive Assistant to work closely with her as the charity expands. Essential to this role is the ability to work efficiently, flexibly and with strong communication. The Executive Assistant role requires key working relationships with the wider team and external stakeholders.

Applicants must have a minimum of 3-5 years of Executive/Senior Management experience and excellent written communication skills.

Applicants will also ideally have an excellent working knowledge of Microsoft Office Suite, and SharePoint.

The Executive Assistant will be responsible for a range of duties, including but not limited to:

o Supporting and assisting the Chief Executive across the full range of her leadership- Business development:
o Organisational management and driving the strategy
o Manage external relationships and stakeholders
o To provide logistical and administrative support to the SMT and Trustees, as delegated
o To research and manage data and information and share it in workable formats
o To have a keen eye and interest in all aspects of the care sector.


The role also supports the Joint Chairs and Board of Trustees to- Governance:

o Set dates of Board meetings and manage all logistics such as venue and refreshments, and ensure accurate minutes are taken, approved, and circulated.
o Manage and support the organising of all the committees as agreed in the policy. Ensure reports and meeting minutes and outstanding actions are actioned promptly.
o Maintain an overview of agreed actions and that the joint chairs are briefed with updates.
o Manage the membership and provide the necessary updates.
o Oversee the charities governance in respect of the Charity Commission and provide regular updates to the Board and CEO.


General Executive Assistant duties:

o Manage important and urgent e-mails and telephone calls and act as an interface between the CEO and other staff whilst the CEO is out of the office.
o Manage travel and logistical arrangements for the CEO
o Support the SMT team with diary management, planning and logistics of summits, conferences, staff parties, etc.
o Assist the SMT with the production of high-level papers and presentations.


The Executive Assistant role will work closely with the CEO and will work from both HO and home as agreed with the CEO.

Travel may be required, mainly across Kent.

Standard hours for this role are 9 am 4.30 pm, although some work may be needed outside of those hours, so flexibility is required especially when deadlines need to be met or evening meetings take place.
