The Provisioning & Procurement Officer role requires a highly organised all-round proficient technical administrator with a customer focused viewpoint. Working as part of a small team the PPO manages orders through the administrative provisioning and procurement stages to delivery, which is pivotal in allowing Sota to deliver its solutions in a timely and efficient manner.

Knowledge of IT & Telecomm terminology and experience of working in an environment where IT & Telecomm solutions have been procured and/or sold is desirable. This position will report to the Financial Controller and will also involve assisting with the ongoing development of systems and subsequent implementation of processes and procedures.

Responsibilities will include (not limited to):

 Validate new customer orders ensuring that customer contracts are in place & sufficient information has been provided.
 Prepare & issue customer contracts as requested by internal teams.
 Provisioning & procurement of each order through to delivery and subsequent invoicing.
 Liaison with the internal technical teams and third party suppliers to ensure the prompt and proficient delivery of their individual knowledge, products, and services.
 Day to day monitoring to ensure delivery is on track and to budget, updating customers and internal teams
where necessary.
 Support the sales team by handling minor sales orders, including the creation of a lead, quoting and liaising directly with the customer.
 Supervision of the goods in/out function including returns, stock control and warranty queries.
 Liaison with finance personnel to ensure that all information is captured to enable the correct processing of transactions.
 Ensure that systems are updated correctly to contain accurate sales analysis for cost of sale & commission purposes.
 Management on a periodic basis of ‘pay as you use’ variable service and licensing contracts including subsequent administration and reporting to internal owners, customers, and third parties.
 Development and introduction of policies & procedures to further increase the capability of the team.
 Ad hoc tasks & projects as required.

The ideal candidate will be a highly motivated & experienced individual, demonstrating strong inter-personal skills and willing to embrace change whilst looking to develop a long term career.

Working hours: Monday to Friday 8.45 – 5.15
