Our client based in Ashford has asked us to help them recruit a PA/Executive Assistant to Chief Executive on a temporary basis that could possibly lead to a permanent role with the organisation.
Applicants will have the following competencies:
• Experience of providing PA support or working as an Executive Assistant to staff at a senior level
• Highly computer literate, with experience of report writing, data handling and necessary IT systems.
• Experience of handling large amounts of administration and managing competing demands
• Experience of collating information and producing high quality correspondence, reports and presentations.
• Experience of minute taking
Principle Responsibilities
• To provide a comprehensive administration and secretarial support service including word processing, email, internet and report writing.
• To undertake research, prepare reports, responses and statistical information as required.
• To be an ambassador for the CEO to manage his daily workload and his communications.
Diary Management
• To manage the CEO’s diary, including organising travel, venues and meeting arrangements.
• To use wise judgement to manage and prioritise competing demands.
• To ensure all information and papers relating to meetings are provided in good time prior to the meeting well-ordered and well-prepared.
Administrative support
• To provide flawless administrative support to the CEO and SMT compiling information and drafting high quality documents aligned with the vision and style of the organisation.
• To minute management meetings and occasional board meetings.
• To prepare document abstracts, policy briefings, reports and presentations in support of the objectives of the organisation.
• To produce and coordinate papers for management meetings, board and committees in a timely manner.
• To assist with bid writing and company projects to ensure all tasks are being completed within timelines.
• To summarise research documents and produce commentaries on policy that will impact the organisation.
The successful applicant will be subject to a DBS Check (enhanced level).
