Our Client based in Greenwich has an immediate start available for an experienced Secretary/Depot Administrator.


This position if offered on a full time, permanent basis; the role will include full secretarial and admin support to the management team and will include -

DUTIES WILL INCLUDE:

HR
• Collation of information for report generation regarding:
o Time & Absence
o Holidays requests
o Sickness
o New starters/leavers
o Salary deductions
o Inductions
• Sitting in on disciplinary and management meetings taking notes and creating accurate reports
• KPI management
• Managing administration of lateness, sickness, holiday’s etc liaising with Managers/Supervisors
• Corresponding with Recruitment Agencies for temporary staff requirement, organising time and attendance data for agency hours - run weekly reports and send to Agencies etc
• Arrange Training Courses – i.e. FLT, medicals, external/internal courses
• Monthly Reports– attendance bonus, monthly absence report, Bradford factor, overtime, temps hours, Accident Stats
• Taking ownership of administration for all certificates and insurances e.g. Employers/Public Liability, Waste, Contractors working regulations, Risk Assessments
• Liaison with contractors – arranging quotations, repairs and services
• Update Accident Reporting
• Occupational Health – arrange meetings and relevant paperwork
• Advertising of vacancies, updates, new policies – internally and externally
• Working closely with the HR team based off site

Secretarial / Administration support for the whole depot

• Diary Management – booking boardrooms, buffets, travel, hotels, restaurants
• Support Management, Supervisors, or Employees
• Issue swipe cards/clock cards (keep logs) to all members of staff
• Attend meetings and minute taking
• Request/send Management Itineraries
• Fire Marshal/First Aider Itinerary
• Filing, Binding, Scanning, Faxing, Laminating
• Ordering house stationery, external packaging materials, goods
• Internal/external post, handing payslips out
• Using mail merge, Word, Excel, Outlook, answering calls, making calls, back-ups
• Being the contact for the whole site liaising with Management, Supervisors, CSA’s, Warehouse Operatives, temps, HR, Payroll , Landlord, Customers, Auditors
• Greet all guests and ensure they are well attended to throughout their visit
• Arrange and look after boardroom’s

Accounts

• Bought Ledger – Invoices, Accruals, Expenses, cheque requisitions, Petty Cash, Banking
• Purchase orders
• Linking invoices to various paperwork and retrieving sign off from the Operations Director

This is an exciting opportunity to join an established company. Working hours are Monday – Friday 8.30am – 5pm / 9am – 5.30pm
