The Admin Assistant role is to provide administrative support to the internal operations of the organisation. They provide internal post sorting and sending, and are responsible for providing up to date information to clients expecting refunds and dealing with incoming enquiries from clients relating to these payments.

The individual will need a calm and empathetic telephone manner and be prepared to liaise with HMRC on a daily basis.

Key Skills:

1. Ability to learn quickly and effectively.
2. Excellent telephone manner.
3. Use initiative when confronted with problems to solve.
4. Keen eye for detail.

Key Responsibilities:

1. To sort incoming post based on type and urgency and to develop understanding of requirements for different items.

2. To ensure that urgent items are brought to the attention of the Admin Manager so that action can be taken.

3. Ensure that incoming claims that are signed by our clients are submitted to HMRC without delay and according to guidelines dictated by the Admin Manager. This ensures that a high quality of service is maintained.

4. Where documents are not signed correctly or are missing they will need to liaise with the clients to ensure corrections are made and the claims can be submitted.

5. Responsible for online submissions of Tax Returns for our clients and resolving any issues associated with these, either through HMRC or our client.

6. Dealing with all outgoing post ensuring that it is franked and correctly priced and that this is cleared each day as per the guidelines and targets set by the Admin Manager.

7. Responsible for incoming calls from clients chasing their refunds and providing updates and answers in a professional manner.

8. Responsible for chasing HMRC for outstanding refunds in line with guidelines and timeframes set by the Admin Manager.

9. Assisting the senior members of the Admin Team in the collection of outstanding debts.

10. Fully utilise customer management systems, ensuring that relevant data is entered and updated.

11. Making sure that all filing is kept up to date and that items are properly inserted into clients files and that this is cleared and completed in line with guidelines and targets set by the Admin Manager.

12. Adhere to company policies and procedures, with particular attention to Health & Safety and data protection.

13. Carry out any task deemed necessary to develop the on-going success of the company.

14. Maintain a professional image of the company at all times.
