The Role
This is an important and unique post as the activity and success of this role underpins the financial viability of the organisation. IATEFL is an international membership charity, and we hold an annual conference and exhibition in the UK for around 2000-3000 delegates. A major part of the conference is our interaction with our sponsors and exhibitors, who help to fund the event, and finance our other services. The successful candidate must be capable and experienced in this field with the ability to resolve complex problems, bring new innovations to fruition and be able to take responsibility for ensuring this side of our conference runs smoothly.
Some UK travel is required with this role including one full week a year away from home at the annual conference where you will play a vital role in ensuring the success of the event. The successful candidate must be able to commit to this requirement.
Key Accountabilities / Primary Responsibilities
• To be responsible for the conference sponsorship, including designing the packages in line with the budget requirements and IATEFL policies and procedures. Approaching prospective sponsors and liaising with them through the booking, paying and onsite presence at conference procedures.
• To be responsible for the annual exhibition, including invitations to tender, designing the best layout to meet our requirements, and generating sales and liaising with exhibitors through the booking, paying and exhibiting processes. Dealing with all health and safety regulations and ensuring compliance with the venue’s requirements and being the on-site contact for all exhibitors. Budget targets will need to be met.
• To be responsible for all conference advertising, for brochures and programme, and for inserts in our delegate bags, liaising with advertisers for booking, paying and ensuring their requirements are met. Budget targets will need to be met.
• To be responsible for generating advertising for IATEFL newsletter Voices – a bi-monthly production, to ensure we raise as much income as possible to help towards production and distribution costs. Liaising throughout with advertisers through booking, getting copy and ensuring the advert is included, as well as ensuring invoices are raised and payment is received.
• Liaising with these stakeholders at our annual conference and generating new business
• To work in partnership with organisations on Barter Agreements
• Other tasks relating to this role such as updating publicity and advertising material, attending meetings, visiting other conferences and exhibitions and other tasks in agreement with the Executive Officer.
