The Role
We are looking for a dynamic and enthusiastic individual to join our professional team and to work alongside the Conference Organiser in arranging our Annual Conference. IATEFL is an international membership charity, and we hold an annual conference and exhibition in the UK for around 2000-3000 delegates. The Deputy Conference Organiser must provide support and shadowing to the Conference Organiser on every aspect of the conference organisation and should be prepared to assume full responsibility for the conference if required to do so.
Some UK travel is required with this role including one full week a year away from home at the annual conference where you will play a vital role in ensuring the success of the event. The successful candidate must be able to commit to this requirement.
Key Accountabilities / Primary Responsibilities
• To ensure in conjunction with the Conference Organiser, the smooth running of the IATEFL annual conference. In preparation for this you will need to attend all pre-conference committee meetings and site visits. This will include liaising with on-site venue organisers, shell scheme and equipment contractors, caterers and couriers.
• Processing delegate and speaker registrations and records to ensure that the database holds accurate and current information.
• Working with the IATEFL Scholarship committee to manage the scholarship process. You will need to be involved at all stages from updating the criteria of the scholarships through to helping winners obtain visas and receive their awards.
• Taking responsibility in conjunction with the Conference Organiser for the design, layout and content of the Conference brochures and programmes.
• Dealing with the accommodation requirements at conference for IATEFL staff, volunteers and scholarship winners, to include the negotiation of the best price, booking and payment.
• Dealing with the recruitment process of stewards for the conference week including the sending out of job specifications and application forms, checking all documentation is completed and received and onsite briefing and management alongside the Conference Organiser.
• To gather and provide statistics for marketing and information purposes.
• Other tasks relating to this role in agreement with the Executive Officer.
