Our Client is looking for a candidate to join there busy team based in Longfield.

The ideal candidate will have to provide timely and efficient administrative support to the Director and Finance Controller.

Both essential and desirable experience is needed for the role:

ESSENTIAL:
Strong Word/Excel Skills
1-2 years Administrative experience
Excellent time management skills
Excellent organisational skills
Ability to multi task
Excellent customer focused Skills
Excellent team work skills

DESIRABLE:
Experience in Mechanical Engineering Company
Ability to be flexible
Willingness to learn new skills


The Main Office responsibilities are:
• All aspects of office administration
• To update the engineers log with holidays, sick days and hours worked
• General office and engineer administration
• Responsible for Company Vehicle administration including, MOT’s, servicing, repairs, insurance renewals and claims
• Arranging travel and accommodation
• Ordering and organising the stationery.
• Dealing with incoming email, faxes and post
• Answer telephone enquiries from suppliers and customers
• To organise uniform and PPE for engineers and new starters
• To undertake research as directed by the director
• To liaise with engineers on a day to day basis
• To set up new starters with email addresses and where necessary phones
• To update company paperwork as directed
• To keep accurate records of our F Gas Register including logging the bottles being ordered and collected and dealing with the file waste transfer notes.
• To maintain office systems
• To arrange meetings and appointments
Maintenance Administration
• To establish the department by developing processes and protocols that promote efficiency
• To organise call outs including all correspondence between engineers and customers
• To organise maintenance visits including necessary correspondence between engineers and customers
• To log and send out work detail sheets and chase these when necessary
• To undertake the necessary ordering of materials and equipment in liaison with the Maintenance Engineer
• Provide information for invoicing
• Write contract renewals and follow these up

The hours are 9am-5.30pm with a paid 45 minute lunch break (the start and finish times are flexible). There is 20 days holiday a year and parking at the offices
